Split your pipeline into three boxes

Box 1 — New

Anyone who arrived since your last check.
Goal: touch them within 48 hours — even just "got it, reviewing."
The first 48 hours of silence is when good people start applying elsewhere.

Box 2 — Waiting on me

The ball is in your court: feedback due, an interview to book, an offer to send.
This is the most dangerous box — because it's invisible.
Every name in here is a promise you haven't kept.

Box 3 — Going cold

Anyone silent for 14–30 days.
Not to drop — to decide on purpose: nurture, close, or revive.
A message on day 20 saves a candidate that day 45 has already lost.
